The Role
As the face of Aptia, create a warm, welcoming environment for colleagues and visitors as well as providing general office and facilities specific administrative assistance to support the smooth running of Aptia’s UK offices. You will be responsible for:

Facilities invoice tracking and reconciliation.
*
Display Screen Equipment (DSE) management.
*
Management and tracking of Health & Safety records.
*
Tracking and recording of regulatory and Planned Preventative Maintenance (PPM).
*
Coordinate with building management and service providers as required.
You will work from our London office in Old Broad Street.
Here's what you’ll be doing:
*
Greet and welcome clients, visitors, and staff with professionalism and courtesy.
*
Answer and direct incoming calls and emails efficiently.
*
Manage meeting room bookings and ensure spaces are presentable and equipped.
*
Handle incoming and outgoing post, deliveries, and couriers.
*
Maintain office supplies and ensure communal areas are tidy and well-stocked.
*
Support teams with ad hoc administrative tasks, including document preparation, printing, and data entry.
*
Assist with onboarding processes for new joiners, including desk setups, access passes and welcome materials.
*
Provide support during company events, meetings, or functions hosted on-site.
*
Play an active role in the organisation of company events such as charity fundraisers or informal social gatherings.
Here’s what we’re looking for:
*
Previous experience in a front of house or office assistant role, preferably in financial or professional services.
*
Confidence using Microsoft Office Suite (Outlook, Word, Excel)
*
Excellent verbal and written communication skills.
*
Strong organisational and multitasking abilities.
*
A proactive, can-do attitude with a flexible approach to daily tasks.
*
Positive, welcoming manner, able to respond quickly to different communication styles and needs.
*
Professional in their personal presentation and manner.
*
Ability to always maintain confidentiality and discretion.
